Cancellation Policy Kidz Therapy

Why do we have a cancellation policy?

Your appointment is a time that has been reserved exclusively for you and your child and is not available to others.

Our cancellation and missed session fees give recognition to the time our clinicians have reserved for your whanau and the work they have put in preparing for your session. They also recognise that other whanaus on our waiting list may have been able to take your appointment time if they had been give sufficient notice.

What is our cancellation policy?

Kidz Therapy requires at least two working days/48 hours’ notice to cancel a weekday therapy or art therapy appointment. Weekend appointments require 72 hours’ notice. Please note the cancellation time-frame excludes weekends and public holidays.

If you cancel 24 – 48 hours prior to your appointment time you will automatically be invoiced $115.00.

If you cancel less than 24 hours prior to your appointment or fail to show up, you will be charged the full session fee.

If your child is scheduled for an Educational Psychology Assessment with us we require fourteen days notice

What happens if you have a family emergency?

We understand that illness and family emergencies sometimes occur and we will not charge a cancellation fee in these cases.

The decision to waive a cancellation fee is at the Practice Manager’s discretion. Please note, a medical certificate may be required in some cases.

How do you cancel your appointment?

If you need to cancel your appointment, please text 021 295, 0089, email info@kidztherapy.co.nz and your therapist directly, or reply to the booking reminder you received from Timely.

What happens if you miss several therapy sessions?

Therapy is for your child’s personal growth and consistency is the key in order to achieve this. We understand that for many whanaus, therapy is a big time commitment. If you are not sure you can commit to therapy appointments, you should consider whether you really wish your child/family to engage.

If you miss three scheduled appointments in a three-month period without 48 hours’ notice, the therapeutic relationship may cease.  Your child of course can return to therapy but you may be placed on a waiting list if your psychologist does not have any openings. This is standard practice with private practice offices.

What happens if my therapist needs to cancel an appointment?

We believe that the responsibility for your care is both on the parent and the therapist so we agree if you are double booked or if we miss an appointment without adequate notice (48 hours) you will receive a complimentary therapy session.   If you can’t physically attend, tele-therapy support is generally available.

Frequently Asked Questions

  • How long will therapy take?

Frequency, length, and duration of therapy will vary according to the needs of each child. In order to achieve therapy goals, consistency is the key. It can be difficult to incorporate a therapy schedule into your weekly routine on top of all the other responsibilities and commitments you may already have. However, the more regular your child’s attendance, the more likely he/she/they will make therapeutic progress. The time frame of individual therapy varies considerably.  Some children with mild challenges may take 6-12 sessions before their therapy goals are met, for others, more ongoing work may be needed.

  • Closure session

The closure session is integral to the therapy.  We look at what has been accomplished, revisit the initial goals and how we are in relation to those goals, it helps everyone to see the progress and the positive changes that have been made.  The door is always open for a potential resumption of therapy if required.

  • How long are the sessions?

Our sessions are 50 mins, this includes preparation, resources and writing up therapy notes.  The initial session is for parents only and may sometimes take 90 minutes to allow the psychologist time to understand the situation clearly.  This also allows you get to know each other.

  • Do I need a referral from my GP?

No, as we are a private service you can self-refer.  Sometimes a doctor may suggest therapy and they send a letter of referral with your consent.

  • Do you offer free therapy?

We are a private practice so do not receive government or other funding.  Overhead costs in a private practice are high.  Ask your GP whether they think your child is likely to meet criteria for a referral to your local District Health Board.

  • Why choose a psychologist?

A psychologist is a highly trained professional who has completed a minimum of 7 years university study. Our clinical psychologists completed an undergraduate degree, a preparatory year specialising in Clinical Psychology before entry into the three-year DClinPsy program.
